For conference organisers
Most multi-day conferences are still held together by a registration form, three spreadsheets, an inbox full of abstracts and someone with a clipboard on the door. There is a system for this, and we built it.
General event tools handle ticketing well enough. Conferences break them, because a conference is six overlapping problems running at once — and the tool has to solve all six or you end up back in the spreadsheet.
Member and non-member rates, early bird deadlines, group bookings, workshop add-ons and invoicing for delegates whose finance department pays by transfer.
Proposals collected on a form, routed to reviewers, scored, and accepted or declined with a templated reply. Not an inbox and a shared spreadsheet.
Parallel sessions across halls and days, with room capacities enforced and changes pushed to delegates the moment a speaker drops out.
QR badges scanned at each hall, so you know who attended which session — the evidence CME, CPD and CEU accreditation actually requires.
Somewhere for exhibitors to manage their own booth details, upload materials and capture leads, without emailing you every change.
Registration and communications in the languages your delegates read, including right-to-left scripts — essential for international and government programmes.
Built for professional programmes of roughly 100 to 5,000 delegates. Below that, a simpler tool will serve you better and we will say so.
The annual meeting is your biggest revenue line and your main member touchpoint. Member and non-member pricing, abstract review and accreditation tracking are the parts that usually hurt.
Medical association congress — 800 delegates, CME accredited
Customer conferences and partner events that carry your brand, need to look like it, and have to run on a schedule that changes right up to the day.
Software user conference — 1,200 customers, certification tracks
Abstract-driven programmes with peer review, parallel sessions and poster presentations, where the review workflow is the whole job.
Research symposium — 400 researchers, 200 abstracts, 6 tracks
Multi-language delegate handling, VIP and access control, and data handling standards that a generic ticketing platform will not meet.
Regional summit — 600 officials, three languages, access tiers
PLANARA covers the way most conferences actually run. Where it does not, we build — but we will tell you honestly which one you need.
Our conference platform, running events today. Registration, abstracts, scheduling, badge scanning and exhibitor portals are already built, already tested against real conferences, and ready in weeks rather than months. From €1,490 per event.
When you need a workflow no product supports, integration with a membership or finance system you already run, a white-label platform to resell, or deployment inside your own infrastructure. We have been building event platforms for eight years.
What is the difference between event software and conference software?
Event tools are built around selling tickets. Conference software has to handle the programme as well — abstract review, parallel tracks across multiple halls, speaker coordination, per-session attendance and exhibitor management. If your event has a programme committee, you need the second kind.
How long does it take to set up a conference?
Most conferences are taking registrations within one to two weeks, covering the registration site, ticket types, programme structure and team training. Tight timelines can be accommodated — tell us the date and we will tell you honestly whether it is realistic.
Can we track CME, CPD or CEU credits?
Yes. Badge scanning records attendance per session rather than per event, which is what accreditation bodies ask for. Attendance exports by delegate and by session for your reporting.
Does it handle abstract submission and peer review?
Yes — submission forms, reviewer assignment, blind review, scoring and automated acceptance or rejection. For academic and medical programmes this is usually the deciding feature.
What about hybrid conferences?
In-person and virtual delegates register on separate ticket types, with streaming integration and virtual access managed alongside the on-site programme.
What does it cost?
PLANARA starts from €1,490 for a single event. Organisations running several conferences a year use Professional at €4,900 per year or Agency at €8,900 per year. Enterprise starts from €15,000 per year. Prices exclude VAT, and there is no PLANARA commission on ticket revenue for annual plans.
Can it run on our own infrastructure?
Private cloud and self-hosted deployment are available under an Enterprise agreement, along with SSO and dedicated infrastructure — which matters for government and regulated programmes.
Who owns the delegate data?
You do. Delegate records, registrations and analytics are yours and exportable at any time. No lock-in on your own data.
Thirty minutes, no pitch. Describe the operation and what keeps breaking, and we'll tell you what we'd do about it — including when the answer is that you don't need us yet.
